To ensure the efficient and professional collection of payment for the Sales Ledger Accounts held at the Branch. To provide Head Office with all data as required, by their due date.


1. 1   Responsible to:  

Regional Branch Administrator

1.2   Relationships with:

Head Office and branch staff

Other Company managers and staff

Suppliers and other company representatives

Company auditors



To chase all accounts for payment following the Company’s policy and procedure and complete monthly debtors returns.

To complete account reconciliations at required times.

Dealing with internal queries about payments, ensuring customers pay on time and negotiating re-payment plans

Chase overdue invoices by telephone, email & letter within agreed timescales

Make regular contact with customers to ensure all relevant debts are managed as necessary

Identify changes in payment patterns and propose action to avert indebtedness

Review the branch’s credit control procedure and develop and implement enhancements where required.

Set and monitor credit limits by making the necessary checks via Head Office or appropriate software.

Prepare and produce monthly and ad-hoc aged debt analysis reports as required by Head Office and/or General Manager.

To improve the branch’s performance in improving debt collection periods and maintaining sound management of debtors’ balances.

Liaise with Regional Branch Administrator in all matters concerning bad debt and bad debt recovery as appropriate.

To make the department aware of bad debt and place customers on stop as required.

Initiate proceedings to ensure outstanding debts are brought to a satisfactory conclusion where required.

Maintain accurate records of all chasing activity and file appropriately.

To work alongside Head Office and other branches in creating new procedures and methods to enhance the position.

To cover showroom telephone reception as necessary (at least 2 hours per week).

GCSE grade C or above in English and Maths or equivalent


NVQ/SVQ levels 2 and 3 in Business & Administration

Skills Required


Ability to demonstrate skills gained within Credit Control including provision of credit control to organisations with a large turnover

Ability to meet deadlines

Computer literate with a good understanding of Word and Excel, and other Microsoft Office programmes

Knowledge of accounts and debtors

Excellent written and verbal communication skills

Excellent telephone skills


Knowledge of switchboard operation

Knowledge of creating and using spreadsheets

Knowledge of Power system (software unique to the motor trade)
